ICG is looking for a full-time Project Coordinator to join our client servicing team!

Who we are looking for?

As a member of our general projects team, this position is accountable for following up on project deliverables and maintaining excellent communication with our teams. As Project Coordinator at IC Group, you will need excellent organizational skills to complete project tasks, often balancing several priorities. You will also be responsible for providing support to a client account team.

If you have a strong understanding, or desire to know, how Social Media Marketing works in the business world, you are an ideal candidate. This role is unique and provides you with the chance to be a part of projects that reach global audiences daily.

Key Tasks:

Program Management

  • Resourcing management assigning of the IC Group team to client projects, resource planning and leveling, daily scrum meetings and weekly planning meetings.
  • Support the production and maintenance of core project deliverables including contracts, milestones, content matrices and related documentation.
  • Program and operations management, administration and timesheet management
  • Assisting with client contracts and statement of works in addition to other related tasks
  • Managing/coordinating special projects
  • Weekly Scrum Meeting coordination across various projects.
  • Resource utilization reporting
  • Improving and implementing process improvement activities, templates, processes
  • Liaise with key members of external groups, customer representative
  • Working with internal and external systems (e.g. time tracking, financial, helpdesk, sales management systems)


  • Working with ICG’s finance group
  • Following up on client invoices
  • 3rd party invoice management Special financial project support
  • Financial reporting
  • Managing Escalations
  • Forecasting
  • Track Purchase Orders


  • Resource placement/office moves
  • Coordinating and Managing IT project management (server upgrades, patching)
  • Compliance and risk processes surrounding project management process and deliverables

Overall, here’s what our successful candidate should possess:

  • Excellent English communication skills (verbal, written and presentation).
  • Strong working skills in the Microsoft Offices suite of products including MS Excel and Word.
  • High flexibility, with solid interpersonal skills to work effectively in a fast-paced environment.
  • Excellent organizational skills, allowing you to complete project tasks, often balancing several priorities.
  • Meticulousness and attention to detail with the ability to manage and prioritize workflow
  • Willingness to learn new technology and related terminology.
  • Ability to work under tight deadlines
  • Strong work ethic and positive team attitude.
  • Two years of agency, marketing or client experience
  • B. Commerce, Business Administration Diploma or equivalent

Great assets to have would be:

  • A “just get it done” attitude in solving issues beyond simply providing suggestions or assuming someone else will do it.
  • Helpful application experience: Google Docs or Word, Google Sheets or Excel, JIRA, project scheduling software.
  • Strong understanding of Social Media Marketing
